Description |
JOB SUMMARY: Works closely with the Doyon Foundation team to support language and scholarship programs and provides administrative duties and backup board support to enable Doyon Foundation to operate efficiently.
ESSENTIAL FUNCTIONS:
• Answers main telephone system, makes referrals, takes messages, and directs incoming calls appropriately
• Greets students and visitors
• Helps schedule, organize, and set up staff meetings, as well as community outreach meetings
• Arranges travel for staff, prepares trip authorizations, and helps with trip reports
• Takes meeting notes and minutes
• Types and/or reproduces reports, forms, correspondence, checks, and other materials
• Creates, designs, and modifies documents
• Maintains the Foundation’s electronic and paper filing system
• Orders and maintains office supplies and upkeeps professionalism of the office
• Assists the team by distributing communications to shareholders, students, and other constituents
• Assists with scholarship processing, golf tournament operations, and other student events
• Receives and date stamps incoming mail
• Proofreads work for accuracy and neatness
• Provides backup support for Office Manager
• Performs other duties and projects as assigned by supervisor
KNOWLEDGE, SKILLS & ABILITIES:
• Highly organized and able to work independently
• Knowledgeable of office administration
• Proficient in answering telephones and greeting the public professionally and courteously; deal with various students and visitors professionally, even under pressure
• Competent in communicating effectively, both orally and in writing, and following instructions
• Ability to make simple computations and tabulations accurately and with reasonable speed
• Maintain confidentiality and discretion
• Knowledgeable or desire to learn about the cultural heritage of Doyon shareholders

Requirements |
QUALIFICATIONS:
• High school graduate or equivalent
• 1 year of Office experience (preferred)
• Ability to operate all Microsoft Office programs, such as Outlook, Word, Excel, etc.
• Ability type at least 45 wpm
• Valid Driver’s license, access to a registered vehicle and must be able to provide proof of state-required insurance on a registered vehicle
• Mandatory COVID-19 vaccination – effective September 1, 2021, all new employees hired to work at Doyon, Limited are required to be fully vaccinated against the COVID-19 virus on the day they begin work. “Fully Vaccinated” is defined as: more than two (2) weeks following receipt of the second dose of a two-dose vaccine, or more than two (2) weeks following receipt of one (1) dose of a single-dose vaccine, including any booster shoots authorized by federal or state health authorities.
WORKING ENVIRONMENT:
The majority of the work is performed in a professional office setting with a wide variety of people in differing functions, personalities, and abilities.
PHYSICAL DEMANDS:
An individual will be required to work the majority of hours in a general office environment and will need to be able to respond to a change in work demands quickly.
